Upgrading your account now that you have ezyVet - an exciting step towards maintaining excellent medical records and capturing charges!



If you are an existing customer and adding ezyVet to your Smart Flow account, please take a look at the following steps to prepare for your products setup. 


Since you already have your inventory established in Smart Flow and have your templates filled with inventory items, let's make sure that you are able to connect your items from your EMR as efficiently as possible!

Pare things down and clean them up...

The more items you have on your templates, and the more templates you have, the more work this will be. So, take some time to delete those templates you haven't even looked at in a year, and clean up the ones you're keeping!

Make your templates work for ezyVet

Be sure to configure your Monitoring parameters to match the Health Status tab in ezyVet, as per the list here.

Make sure you have items on your templates to track billable items like:

- IV Catheter, fluid set up and fluid bag replacement procedures
- Hospitalizations (q12 or q24?)
- Additives and CRIs if applicable
- Dispensing and Administration fees for medications

Please ensure you speak with a Smart Flow staff member about setting these up correctly!

Preserve your current Templates

As a backup, we recommend you print out or save a copy of any of the templates you wish to continue using. 

Adding your ezyVet inventory to Smart Flow will remove any items that are "billable" from your templates, so you may want to back everything up just in case you miss something.

You can do this by:


· Logging into Smart Flow on the website.

· Creating a test patient.

· Select the template you wish to save and apply it to the flow sheet.

· Along the bottom of the flow sheet, click on the Flow Sheet PDF and download it so that you can save or  print it out.

· Do this for each of the templates you wish to continue using.



*NOTE:  your tasks will NOT download the PDF and will have to be saved separately. You can do this a few ways:

 1.  for each flow sheet you print out, manually write the tasks you have for each template, so you have a record of it

 2.  open the template on an iPad and take a screen shot of it with the tasks displayed to retain a copy

3. Mark each task as "complete", then save the "medical record" as it will record the tasks there.


Keep your Inventory Items

2. Turn "Billing" OFF for all items on your templates.

· Go into the website and select “Settings”.

· Choose “Parameters”.


· Find those items you wish to keep in Smart Flow and click the pencil icon to the right of the item.

· Turn the Inventory buttons for these items to OFF.


· Find those items you wish to keep in Smart Flow and select them with the check box.

· Use the "Edit selected" button to turn billing OFF.

Any items that are set to ON will be deleted when the new inventory is uploaded! 




 Sync your ezyVet Account with Smart Flow & upload inventory

A Smart Flow or ezyVet staff member will assist you with this!


Backwards-map your parameters

Now that your items are in Smart Flow, each item will need to be 'mapped' to connect it with the appropriate ezyVet item.


*NOTE: after your initial inventory transfer into Smart Flow, you will be able to sync your EMR inventory at any time to update your 

items in Smart Flow. The only time that the process will remove the “Inventory Items” is during the initial upload.

Check your Templates

Do check over your templates for the first few patients to ensure all is well!
